Providence Health & Services Surgery Scheduling Coordinator in Medford, Oregon

Providence is calling a Surgery Scheduling Coordinator to its Surgery team at Providence Medford Medical Center in Medford, Oregon. This is a full-time, day shift position offering a 40 hour work week. The schedule offered is Monday-Friday from 8:30am-5pm. We are seeking a Surgery Scheduling Coordinator - Surgical Services who will be responsible for the surgery schedule, and compile, maintain and distribute Surgery Department records. Assist in the control and maintenance of office supplies and equipment. Assumes the duties of Surgery Desk Clerk, Billing Specialist, and Timekeeper, as needed. Develop and maintain the staffing schedules and call schedule, including the input of approved time off. Maintain and update departmental forms. Create and maintain a tracking system for equipment orders and broken/lost items

In this position you will have the following responsibilities:

  • Prepare and distribute surgery and pre-op clinic schedules according to current policy

  • Communicate with doctor’s offices, anesthesia office, and physician assistants to schedule surgeries, including any special needs.

  • Schedule pre-anesthesia clinic appointments with doctor’s offices.

  • Schedule OB epidural appointments for anesthesia.

  • Assist in control and maintenance of office supplies and equipment

  • Flexibility and Initiative.

  • Demonstrates flexibility by:

  • Adapting to on-going change in the hospital and on the surgical unit.

  • Assuming duties of the Surgery Desk Clerk as needed.

  • Accepting unexpected assignment changes

  • Altering work schedules to meet organizational needs

  • Demonstrates initiative by:

  • Accountability for his/her actions.

  • Willingness to share appropriate information with team members.

  • Reviews and updates the daily staffing sheet each morning.

  • Communicates with supervisors concerning staffing needs

  • Documents all schedule changes; i.e., illness, WI, PP, IC and personal trades, in the scheduling book.

  • Accurately transcribes all staffing changes from the previous 24-hours into the schedule book.

  • Maintains Staffing Coordinator’s communication book.

  • Under the direction of charge nurses, completes the scheduling of staff for the following 24-hours, utilizing recognized strengths and weaknesses of staff.

  • Supports nursing office activities.

  • Promptly answers the telephone, and correctly screens and routes calls, or takes messages and routes them to the appropriate person.

  • Displays resourcefulness in completing daily tasks and special projects, and manages time efficiently.

  • Attends department meetings.

Qualifications:

Required qualifications for this position includes:

  • Hospital experience

  • Microcomputer experience.

  • One (1) year general office experience.

Preferred qualification for this position include:

  • HS diploma or equivalent combination of education and experience

  • Surgery experience

  • Hospital experience

  • 1 year general office experience

  • 1 year or more of scheduling experience in an office environment
